If your receipts are not appearing in AI Expense, don’t worry—this guide will help you troubleshoot the most common causes and get your receipts to show up correctly.
✅ 1. Make Sure You Uploaded Receipts to the Correct Folder
AI Expense scans only one specific folder in Google Drive (the folder you connected during setup).
Fix:
Open Google Drive
Check if your receipt files were uploaded to the AI Expense Folder
Move any misplaced files into the correct folder
🗂️ 2. Check Supported File Types
AI Expense only scans supported file formats.
Supported types include:
JPG / JPEG
PNG
PDF
Fix:
Make sure the file type is one of the above
If not, re-upload a supported file format
🔄 3. Refresh or Re-Sync the Integration
Sometimes the sync between Google Drive and AI Expense pauses.
Fix:
Go to Settings → AI Expense
Click Re-sync Drive or Reconnect Google Drive
Wait a few seconds for the sync to complete
📅 4. Make Sure the Receipt Was Recently Uploaded
AI Expense may take a short time to process new files.
Fix:
Wait 1–2 minutes and refresh the AI Expense page
Very large PDF files may take longer to scan
📝 5. Check If Your File Name Contains Special Characters
Certain special characters can cause scanning issues.
Avoid file names with:# % & { } < > * ? / \ + | “ :
Fix:
Rename the file (e.g., from
Receipt#123?.pdf→Receipt_123.pdf)Re-upload it into the AI Expense folder
🔧 6. Verify Folder Permissions
If your Google Drive permissions changed, AI Expense may not have access.
Fix:
Right-click the AI Expense folder in Google Drive
Go to Share
Make sure the connected Google account still has Editor access
🗑️ 7. Check If You Accidentally Archived or Deleted the Receipt
Fix:
Check the Archived tab (if available)
Check Google Drive Trash
Restore the file and move it back to the AI Expense folder
⚠️ 8. Your Folder Might Be Too Large
Overloading the AI Expense folder with hundreds of files may slow down scanning.
Fix:
Move older files into a subfolder
Keep only active receipts inside the AI Expense folder
